1. Who Processes Your Personal Data

2. What Data Do We Process

Depending on your interaction with CORVAI, we process identification and contact data, company data, business or VAT number, professional activity, interests, and inquiry content. For quotation, partner, or service requests, we may also process device data, serial number, purchase date, proof of purchase, photos, videos, and technical information. Additionally, the website may process technical data such as IP address, browser information, language preference, log data, and cookie preferences.

3. Why and on What Grounds

We process data to answer questions, handle professional inquiries and quotations, verify professional status and VAT numbers, organize appointments and device guidance, prepare or execute orders and agreements, handle service and warranty, prevent fraud and abuse, secure the website, and comply with legal obligations. This occurs, as applicable, because processing is necessary for pre-contractual measures or an agreement, for a legal obligation, based on our legitimate interest, or based on your consent.

4. With Whom Do We Share Data

We only share personal data when necessary with service providers for hosting, website management, email, forms, security, VAT validation, translation, storage, and technical support, and with professional advisors, suppliers, manufacturers, or competent authorities when necessary or legally required. These parties may only process data within the scope of their assignment and according to applicable rules.

5. Transfer Outside the EEA

When a supplier processes data outside the European Economic Area, CORVAI ensures a valid transfer basis and appropriate safeguards, such as an adequacy decision or approved standard contractual clauses, where required.

6. How Long Do We Retain Data

General contact inquiries are retained for no longer than two years after the last substantive communication, unless longer retention is necessary. Quotations and pre-contractual files are retained for a maximum of five years after the last follow-up. Customer, invoicing, warranty, and service data are retained as long as necessary for the agreement, legal retention obligations, and the establishment or defense of rights. Rejected partner applications are retained for a maximum of two years. Technical attachments are deleted as soon as they are no longer needed. Cookie data is retained according to the terms in the cookie policy.

7. Your Rights

Within legal conditions, you can request access, rectification, erasure, or restriction of your data. You can object to processing based on legitimate interest, have your data transferred, and withdraw consent at any time without affecting prior lawful processing. We may request identification. You can also file a complaint with the Belgian Data Protection Authority via www.gegevensbeschermingsautoriteit.be.

8. Required Data and Automated Checks

Fields marked as mandatory are necessary to process the request. Without this data, CORVAI may not be able to respond. For professional inquiries, the VAT number may be automatically checked. An invalid or unverifiable number may block submission. This is an access control for the form; please contact CORVAI if you believe the check is incorrect.

9. Security and Changes

CORVAI takes appropriate organizational and technical measures to protect personal data. No system is entirely risk-free. We may amend this policy when the website, our operations, or legislation changes. The current version and date are always available on the website.
